Fleet Management Software for Trucking: See Every Truck, Skip the Phone Tag

Last updated: October 2026

It’s 6 a.m. A customer wants to know where their load is. Your driver isn’t picking up, your dispatcher is on another call, and you’re scrolling through texts trying to piece it together. Good fleet management software exists so that moment never turns into a scramble. You open one screen, see the truck, see how many hours the driver has left, and go back to your coffee.

This page explains what trucking fleet management software actually does, what to look for, and where people get burned when they buy it. We also lay out what ours includes, so you can make up your mind before anyone calls you. Run five trucks or fifty, the questions are pretty much the same.

What Is Fleet Management Software?

It’s the system that keeps track of your trucks, your drivers and the paperwork around them, in one place instead of five. You’ll hear it called a fleet management system, a fleet management platform or a fleet management solution. Some people just search for truck fleet software. Different words, same idea.

Fleet management for trucking is its own animal. A pizza shop tracking delivery cars doesn’t care about hours-of-service rules or fuel tax filings across state lines. You do. So the software has to be built around long hauls, driver logs and the compliance side of the business, not just a dot on a map.

Trucking Fleet Management: What It Actually Covers

It sounds like a big topic, but day to day it comes down to a handful of jobs:

  • Location. Where is each truck right now, and where has it been?
  • Hours of service. How much time does each driver have left, and are the logs clean?
  • Truck health. An engine fault code caught early is a lot cheaper than a breakdown 300 miles from home.
  • Compliance and paperwork. IFTA fuel tax, permits, and having your records ready when an officer asks.
  • Communication. Dispatch and drivers looking at the same information instead of three different versions of it.

Software won’t do those jobs for you. It just stops you from doing them with sticky notes.

Fleet Tracking Software: Live Location Without the Hovering

Fleet tracking software is the GPS part of the picture. Each truck reports its position and you see it on a map. That one thing fixes a lot of daily friction. Customers get a straight answer on arrival times. Dispatchers stop calling drivers just to ask where they are. And drivers get fewer interruptions while they’re behind the wheel, which is better for everybody.

Tracking by itself is only half the story, though. A dot on a map won’t tell you a driver is about to run out of hours, or that the check-engine light has been on since Tuesday. That’s why we pair tracking with ELD logs and engine data.

What You Get With Our Fleet Management Platform

Here’s what comes with ELD Nexus:

  • GPS tracking. Live truck locations on a map that you or your dispatcher can open any time.
  • ELD and hours of service. Driving time is recorded automatically from the truck’s engine, using Geometris hardware that plugs into the diagnostic port. More on that on our ELD device page.
  • Engine fault codes. Problems show up before they turn into a tow bill.
  • A driver app. Drivers use it on their own phone or tablet to handle duty status and check their logs.
  • A dashboard for you or your dispatcher. One place to see the whole fleet.
  • IFTA filing and permit help, if you want it. Learn more about IFTA filing.
  • A real person to call. Not a chatbot maze.

Need something that isn’t on this list? Ask before you sign. We’d rather give you a straight no than a vague maybe. The full rundown is on our ELD services page, and the pricing page shows current plans.

Who Uses Truck Fleet Management Software

Owner-operators adding a second or third truck

This is the moment the logbook and the phone stop being enough. You can’t be in two cabs at once, and suddenly you need to know where the other truck is without calling.

Small and mid-size trucking fleets

Maybe you’ve been running the fleet from a whiteboard and a group chat. It works until it doesn’t. A shared dashboard gets your dispatcher and your drivers working from the same facts.

Larger fleets

Commercial fleet management gets harder with every truck you add. If your team spends half the day on “where are you?” calls, that’s the time to fix.

How to Choose Truck Fleet Management Software

Here’s what we’d check, roughly in this order:

  1. Does it include a registered ELD? Check the model on the FMCSA ELD list, and look at the revoked list too. If the fleet management system leaves the ELD to someone else, you’ll end up paying two companies and calling two support lines.
  2. Will your drivers actually use the app? A platform drivers hate is just an expensive map. Let a driver try it before you commit.
  3. Can your dispatcher find what they need fast? Ask for a demo using a real situation from your week, not a canned one.
  4. What does it really cost? Add up the hardware, the monthly fee per truck, activation fees, contract length and what happens if you cancel.
  5. Who picks up when something breaks? Call the support line before you buy and see what happens.
  6. Can you take your data with you? If you leave, your records shouldn’t be held hostage.

Most of the regret we hear about traces back to #4 and #5.

Getting Set Up

It’s less work than people expect.

  1. Tell us about your fleet: how many trucks, and the year, make and model of each.
  2. We get the right hardware and connectors lined up for those trucks.
  3. Plug the device into each truck’s diagnostic port. Park, engine off, parking brake set.
  4. Drivers log into the app, and you or your dispatcher log into the dashboard.
  5. If anything looks off, call us. We’ll stay on the line until it works.

Five Mistakes Fleets Make Buying Fleet Management Software

  1. Buying a giant system with forty tabs, then using two of them.
  2. Paying for tracking and an ELD separately, then finding out they don’t talk to each other.
  3. Never letting a driver test the app.
  4. Signing a long contract before reading the cancellation terms.
  5. Treating support as an afterthought until the first bad day.

Do You Actually Need Fleet Management Software?

Maybe not yet. If you’re a single owner-operator who just needs to stay legal, a plain ELD may be all you need, and we’d rather point you to our ELD device page or ELD for owner operators than sell you a dashboard you’ll never open. Once you have a few trucks and you notice your evenings disappearing into “where are you?” texts, that’s usually when software starts to make sense. Not sure where you fall? Ask us. If the answer is no, we’ll say so.

Fleet Management Software FAQ

What is fleet management software?

Fleet management software is a system that tracks your trucks, drivers and compliance records in one place. For trucking companies it usually combines GPS tracking, electronic logs, engine data and a dashboard for dispatchers or owners.

What should truck fleet management software include?

At a minimum: live GPS tracking, an ELD that is on the FMCSA registered list, a driver app people will actually use, and a dashboard your dispatcher can read quickly. Engine fault codes, IFTA help and good support are what separate the better options from the rest.

How much does fleet management software cost?

It depends on the plan and the number of trucks. Add up the hardware, the monthly fee per truck, any activation or cancellation fees, and the contract length. Our pricing page shows the current plans, or ask us for a quote.

Is fleet tracking software the same as fleet management software?

Not quite. Fleet tracking software shows you where your trucks are. Fleet management software includes tracking and adds the other pieces, like driver hours, engine data and compliance records.

Do I need a separate ELD if I use fleet management software?

If your drivers have to keep records of duty status, you need a registered ELD. Some fleet management systems leave that to a separate vendor, so you end up paying for two systems. With ELD Nexus, the ELD, GPS tracking and dashboard come together as one system.

Is fleet management software worth it for a small fleet?

Often, once you have a few trucks and you’re spending real time asking drivers where they are. If you run a single truck and only need to stay legal, a plain ELD may be enough, and we’ll tell you so.

Can I switch from my current provider?

Usually, yes. Check your current contract for cancellation fees first, then tell us what you’re running and how many trucks you have, and we’ll talk you through the switch.

Will my drivers actually use it?

They will if the app is simple. Changing duty status should take a few taps, and logs should be easy to find. Try the app before you commit, and ask a driver to try it too.
